Printer offline error is a common problem for all the PC users, and it can be strenuous if it appears for the first time when you’re completely unaware of how to fix it. Being one of the common issues in printer, HP Printer offline issue can happen with many connected printers and can be easily resolved by following a few steps. An offline printer is a printer that cannot take command from the device, sending the print command. However, it does not mean that your printer is broken. An offline printer simply cannot receive new print commands and process them. The best advice in this regard is to pause all the print jobs until the issue is resolved. Sending more print requests to the printer can create more problems, so do not send any print commands. However, if you have any print jobs in the queue, you need to cancel them until the issue is resolved, and the printer is back online. Users should save their work to do it later.

Method 1 Fix the Issue by Running HP Print & Scan Doctor

  • Use HP Print & Scan Doctor application to identify and solve errors

  • Open the application called HPPSdr.exe by clicking it from the download location and allows it to run. However, it is required that you’re the admin to do this

  • If you’re prompted, then choose Yes to trust the file source because it comes directly from the HP tech support team.

  • Click on Start and select your printer

  • If your printer is not listed, then restart your printer and then click Retry in the Print and Scan Doctor application

  • These applications will them self identify potential connection issues, and users are suggested to follow the prompts and click Yes if asked to turn on printer updates

  • Continue through the prompts and click Yes if asked to make this printer as your default printer

Method 2 – Set the Default Printer Users need to indicate their default printer preference manually. Below are the steps to resolve the issue for Windows 10. Moreover, before you begin, ensure that you have downloaded and install all the updates for Windows 10 operating system. For Windows 10 Users

  • Use Cortana to open Devices or use the search box

  • Select Printers & scanners

  • Make sure that the box saying “Let Windows manage my default printer” is not marked. Click on the box if it is selected

  • Choose your printer from the list provided

  • If the printer is shown multiple times, then select the version which is showing online status

  • Click on Manage

  • Click on Set as Default

For Windows 8 Users

Select your printer from the devices shown, and if more than one version is listed, opt for the version that is not grayed out. Right click on the same and choose “Set as default printer” After following the above suggestion, try to print again, and if your device still shows offline status, then move on to the next station. In most cases, the HP Printer offline issue gets resolved with this process.

Method 3 – Confirm your Windows Services Status and Printer Port

Check if your printer uses a WSD port if the above ways did not resolve the issue.

  • To go ahead with this, ask Cortana or use Windows search for Control Panel and click on “View devices and printers.”

  • Now, right click on your printer and select Printer Properties

  • Finally, click the Ports tab and check if your printer uses a WSD port

Note: Follow the below-mentioned steps if it does, and if it doesn’t, you can skip the steps mentioned below.

  • Ask Cortana or search Windows for Services

  • Now, scroll through the list to find Function Discovery Provider Host and Function Discovery Resource Publication

  • Have a look at ‘Status’ and ‘Startup’ type columns. In case they are running, and the startup type is automatic, then go to the next step

  • If they show up blank with a manual startup type, then right click the name and select ‘Properties.’

  • Change the Startup type to automatic

  • Now, click ‘Start’ under the service status and click ‘OK.’

  • Go back to the Device and Printers window and press f5

  • Lastly, click on your printer name and check the status again

If your printer turns back online after following the above steps, then your issue is resolved, but if it doesn’t, then print a network configuration report. Users can execute this from Settings or Wireless menu. Below are the steps for the same:

  • Right click on your printer name & then choose ‘Printer Properties’ and click the ‘Ports tab.’

  • Now, select Add Port

  • Choose ‘Standard TCP/IP Port and click ‘New Port.’

  • Now use the network configuration report which you ran already to add a new port, and a hostname is preferred

  • Visit the “Devices and Printers’ Window and press F5

  • Finally, check your printer’s status

Method 4 Check your Connection

There can be numerous reasons why your printer is appearing offline, and it also depends on how the printer is connected to your device. In case you use a wireless network to connect your printer, then follow the below-mentioned steps:

  • Restart your printer by turning it off, wait for approx. 10 seconds and disconnect the power cord from the printer

  • Afterwards, turn off your computer

  • Now again connect the printer power cord to the printer and turn the printer back on

  • Once you are done with the above steps, then disconnect the power cord from your wireless router

  • Wait around 10 seconds before reconnecting it

  • Power on your computer once the internet comes back

  • Now, use the HP wireless setup wizard or the HP Smart software and connect your printer to your network

  • Check the wireless report to know if the connectivity issues are still there

  • You can find this report in the Network settings or the Wireless menu of your printer

The above steps will rectify your connection issues and will turn your HP Printer online.

Use another Device to Print

Using another device to print documents is an alternative solution if you are facing HP Printer offline issues. You can try to print from a different device like a laptop or mobile. Most of the times, the issue is because of the device we are using and its settings, so try to print from a different device.
